UBICOMP PTE. LTD. ("UBICOMP", "we", "us" or "our") is committed to protecting your personal data in accordance with the Personal Data Protection Act 2012 of Singapore (the "PDPA"). This policy explains how we collect, use, disclose and safeguard personal data collected through this website and in the course of our business dealings.
1. Personal data we collect
We collect only the personal data reasonably necessary for the purposes described in this policy. Depending on how you interact with us, this may include:
- Identity and contact data — name, company name, job title, business email address and telephone number you submit through our enquiry form or provide during correspondence.
- Enquiry content — the details of the requirement, project or question you choose to include in your message.
- Transaction and correspondence data — records of quotations, orders, invoices and communications where you become a customer or supplier.
- Technical data — where our website uses analytics or embedded content, limited technical information such as IP address, browser type and pages visited may be processed. We do not use this data to identify you personally.
We do not knowingly collect personal data from individuals under 18 years of age, and we do not collect sensitive personal data through this website. Please do not submit information you consider confidential or sensitive through the enquiry form.
2. Purposes for which we use personal data
We collect, use and disclose personal data for the following purposes:
- To respond to your enquiry, prepare quotations and provide the information you have requested;
- To supply products and services, administer orders, deliveries, invoicing and after-sales support;
- To manage our business relationship with you, including account administration and record keeping;
- To send you marketing or business updates, where you have separately consented to receive them;
- To comply with applicable laws, regulations and lawful requests from authorities, and to establish or defend legal claims;
- For internal purposes such as service improvement, risk management and audit.
Where we rely on your consent, you may withdraw that consent at any time as described in section 7.
3. Disclosure of personal data
We do not sell personal data. We may disclose personal data to:
- Service providers and business partners who support our operations — for example logistics providers, manufacturers or distributors processing an order, IT hosting and email providers, and professional advisers — in each case only to the extent necessary;
- Counterparties in an advisory engagement, where you have asked us to make an introduction and have agreed to that disclosure;
- Regulatory, governmental or law enforcement authorities where required or permitted by law;
- A successor entity in connection with a merger, acquisition or restructuring of our business.
We require third parties who handle personal data on our behalf to provide a standard of protection comparable to that required under the PDPA.
4. Transfers outside Singapore
Some of our service providers and business counterparties are located outside Singapore. Where we transfer personal data overseas, we take reasonable steps to ensure that the recipient is bound by legally enforceable obligations to provide a standard of protection comparable to that under the PDPA, as required by section 26 of the PDPA and the PDPA Regulations.
5. Protection and retention
We make reasonable security arrangements to protect personal data in our possession or control against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. These include access controls, encryption of data in transit, and limiting access to staff who need it to perform their role.
We retain personal data only for as long as it is necessary to fulfil the purposes for which it was collected, or as required for legal, accounting or regulatory purposes. When personal data is no longer required for any business or legal purpose, we will cease to retain it or remove the means by which it can be associated with an individual.
6. Cookies and website analytics
This website uses cookies or similar technologies only where necessary for the site to function and, where applicable, to understand aggregate usage. Pages on this site may embed third-party content such as Google Maps, which is subject to the provider's own privacy practices. You can configure your browser to refuse cookies or to alert you when cookies are being sent; some parts of the site may not function as intended if cookies are disabled.
7. Your rights: access, correction and withdrawal of consent
Under the PDPA you have the right to:
- Request access to the personal data we hold about you and information about how it has been used or disclosed in the past year;
- Request correction of any error or omission in your personal data;
- Withdraw your consent to our collection, use or disclosure of your personal data for any purpose, by giving reasonable notice.
Requests may be made in writing to our Data Protection Officer using the details in section 9. We will respond to your request as soon as reasonably possible, and in any event in accordance with the timelines set out in the PDPA. A reasonable fee may apply to an access request, and we will inform you of any fee before processing it.
Please note that withdrawing consent may mean we are unable to continue responding to your enquiry or providing products or services to you. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal, and we may continue to retain data where required or permitted by law.
8. Do Not Call Provisions
If you have provided a Singapore telephone number, we will not send you marketing messages to that number unless you have given us clear and unambiguous consent to do so in writing, or where the limited exemptions under the PDPA apply to an ongoing relationship. You may withdraw such consent at any time by contacting our Data Protection Officer.
